Minutes Special Meeting October 17, 2003

Call to Order

A special meeting of the Hillsdale Housing Commission was held in the Community Room of Hilltop Apartments on Friday, October 17, 2003, and was called to order at 2:00 p.m. by President Karri Doty.

Roll Call

Present were:

President Karri Doty, Commissioner Eames, Commissioner Field and Commissioner Skiver

Absent was:

Vice President Terry Vear

Also present were:

Executive Director Alton Cousino, Maintenance Supervisor Paul Piper, Maintenance Person Luann Lehman, Administrative Assistant Michelle Loren, the following Hilltop Apartments residents: Bettie Monroe (206), Vicky Carpenter (101), Robb Zack (214), Jilleta Slocum (104), Amy Wright (302), Janet Johnson (305), Vaughn Martin (414), Joyce Johnson (402), Marlene Donihue (203), Alice Kuhn (309), Betty Blair (205), Hilda Zack (214), Kenny Murphy (306), Wilma Hyatt (215) and BPU Employee Wes Kelley.                   

Additions to Agenda

There were no additions to the agenda.

Fiber Optic Bill

Director Cousino introduced Wes Kelley from the Hillsdale Board of Public Utilities to Commissioners to discuss unanticipated charges for the installation of a fiber optic telecommunications connection.  Mr. Kelley gave a presentation as to how the additional charges came about and why they could not be avoided.  Commissioner Eames moved to pay the additional costs pending receipt of CFP 2003 funds.  Commissioner Field supported the motion and the motion carried unanimously.

MERS Employer Contribution

No action was taken at this time.

Hilltop Apartments Maple Tree Removal

As requested by the Board at the regular meeting on October 02, 2003, Administrative Assistant Michelle Loren reported that a survey had distributed to the residents of Hilltop Apartments regarding the removal of a maple tree at the entrance of the building.  Ms. Loren reported that of the 60 surveys distributed, 37 had been completed and returned; 29 were in favor of the removal and 8 residents were opposed.  The survey responses were made available to Commissioners for review. 

Maintenance Supervisor Paul Piper recommended that the tree be removed due mainly to the excessive mess the tree makes which he feels the maintenance staff is spending a large amount of time cleaning up.  Mr. Piper reported that the excessive debris fell year-round, clogging the gutters and created continuous clean up from the gutters, sidewalks, flowerbeds and surrounding areas.  Mr. Piper did, however reported research on various products to help keep the gutters free of debris and presented those options to the board.  

After lengthy comment and discussion, Commissioner Field, supported by Commissioner Eames, moved that the tree remain at this time.  The motion carried unanimously.

Adjournment

Commissioner Skiver, supported by Commissioner Eames, moved to adjourn.  The motion carried unanimously and the meeting was adjourned at 2:58 p.m.
